Working from home, this voluntary "customer facing" role is the Abbey Manor Community Centre's point of contact managing users, bookings and keys.Detailed description
The Abbey Community Association, is a Charity in NW Yeovil which lets out the Community Centre Hall to regular users and for one-off events such as family parties, wedding receptions, sports events, charity bingo, etc.
Your main workload will come from these one-off events, with 2 to 4 new enquiries/bookings in a typical week. Enquiries are left on a mobile phone answering service so that you can process them at a time convenient to yourself, calling back to sort out the booking.
You will follow a well-established procedure and, once the Booking Form has been completed, it is up to you to decide whether the hire is appropriate to go ahead (supported by the Chair and Secretary if needed). After payment of the deposit (to our bank) the hirer's booking can be confirmed. The online diary is then updated, directly from the 'phone or from a computer (both supplied).
Near to the hire date, any balance of payment is taken and you will issue a key. These keys are returned via a secure facility at the Centre, so you can collect keys at a time to suit you.
The Centre is run by a Committee which meets monthly on the second or third Wednesday evening each month. You would be part of that, typically making a short verbal report. Other volunteers will support you in the day-day role, especially the Treasurer (money handling, billing, refunds) and Chair/Vice-Chair (hiring and fee decision support) and they will be able to cover holidays and sickness for you.
This role requires someone local, who is responsible and reliable (you will be trusted with keys and charity funds), but it still suits a first time volunteer. Training will be provided - the Booking Secretary will normally become a Charity Trustee in due coure - but this will be discussed once established.
